Vocanti records conversations you take part in and gives you feedback on how you communicated. Recording is the whole product, so this policy is mostly about audio: what we capture, where it goes, who else touches it, and how to get rid of it.
Who we are
Blackpebble Ltd is the data controller for the personal data described here. We are registered in England and Wales, company number 11884353, at 39b Borough Street, Brighton, England, BN1 3BG. Write to us atprivacy@vocanti.com about anything in this policy, including to exercise any of the rights below.
What we collect
Your account
An email address, and a password stored only as a bcrypt hash. If you sign in with Google we receive an account identifier and an email address from them instead. Nothing else is required to use Vocanti.
Recordings and transcripts
When you record, the audio is uploaded to our storage and transcribed. We keep the transcript and the feedback generated from it. Transcripts are also split into passages and stored as numeric embeddings, which is what lets your coach search back through your past conversations. The audio itself is deleted a week after we have finished with it, and the parts of the transcript that are not yours after a month. See How long we keep itbelow.
A recording captures everyone audible, not only you. See People in your recordings below, which is the part of this policy we would most like you to read.
A voiceprint
Once you identify which speaker is you, we derive a numeric voiceprint from that audio so later recordings can pick you out without asking again. It is a biometric identifier: under UK and EU data protection law that is special category data, and we hold it only because you asked us to identify you in your own recordings.
Your conversations with the coach
Messages you exchange with the coach, the goals and practices you choose, and your scores over time. We also retain a diagnostic record of each coach turn, which includes the full text sent to the model and the reply that came back. We use these to debug faults and to check the coach's quality, and they are deleted with your account like everything else.
Usage analytics on the web app
The web app sends product analytics to Mixpanel: which screens you reach, when a recording completes, and when a subscription starts. Mixpanel is configured to store this in the EU. The marketing site at vocanti.com carries no analytics and sets no cookies.
People in your recordings
This is the part that matters most. When you record a meeting you are recording other people, and they have not agreed to anything with us. So:
- Tell them. You are responsible for making sure everyone in a conversation knows it is being recorded. In some countries and US states recording without the consent of everyone present is a criminal offence.
- We only analyse you. Other speakers are separated out so we can score your contribution, not theirs. No profile, voiceprint, or score is built for anyone but you.
- They can ask us to delete it, without going through you. Anyone in one of your recordings can write to privacy@vocanti.com with roughly when the meeting was and who was recording, and we will find it and remove it. They do not need an account, and we will reply either way, including when we cannot find a match.
- We do not keep them for long. Their half of the transcript is deleted after a month and the audio within a week of us finishing with it, whether or not anyone asks.

Settings has a Forget my voice button. It deletes the clip and the copy in our storage, and from then on we ask which speaker is you on each recording. Your account and your history stay where they are.
Who else processes it
These companies handle your data on our instructions, and only to run Vocanti:

We do not sell your data, and we do not use your recordings to train anyone's general-purpose AI models.
Where it is held
Our servers and storage are in Google Cloud's us-central1 region, in the United States. Some of the processors above operate in the United States as well. That means personal data leaves the UK and the EEA, and where it does we rely on the UK Addendum and the EU Standard Contractual Clauses in our agreements with those providers.
How long we keep it
Your own words, your scores, your coaching history and your voiceprint are kept for as long as your account exists, because your progress over time is the product. Delete your account and they go with it.
The other people in your meetings are on a shorter clock, because they never signed up for any of this.

When the clock runs out we delete the audio, the full transcript, the searchable passages built from it, and the names you gave the other speakers. What survives is your half of the conversation and the measurements we already took from the whole of it. Your coach can still tell you that you conceded a point for the fourth time. It can no longer quote the person you conceded to.
You can hold one meeting's full transcript for longer from the meeting itself, and you can delete any meeting on the spot without waiting for the clock. There is a limit on how many you can hold at once, for the same reason the clock exists.
Deleting your account
Settings has a Delete account button. It removes your account and everything attached to it: recordings, transcripts, embeddings, voiceprint, coaching history, goals, practices, and diagnostic records. Audio files are deleted from storage in the same operation, and any active subscription is cancelled. It cannot be undone and we cannot recover it afterwards.
Backups roll off on their own cycle, so a copy may persist in an encrypted backup for a short period after deletion.
Your rights
Under UK and EU data protection law you can ask us for a copy of your data, correct it, delete it, restrict or object to how we use it, or ask for it in a portable form. Email privacy@vocanti.com and we will answer within one month.
If you think we have handled your data badly, you can complain to the UK Information Commissioner's Office at ico.org.uk, or to your local supervisory authority in the EEA.
Security
Data is encrypted in transit and at rest. Passwords are stored as bcrypt hashes and never in a readable form. Access to production data is limited to people who need it to run the service. No system is perfectly secure, and we will tell you and the regulator if a breach affects you.
Children
Vocanti is not for under-16s and we do not knowingly collect their data. If you believe a child has given us personal data, write to privacy@vocanti.com and we will remove it.
Changes
If we change this policy in a way that affects you, we will tell you in the app or by email before it takes effect. The date at the top shows the last revision.
