Indian River Primary Care — OWS Reply Helper Privacy Notice
This notice applies to extension version 0.3.0. It describes the OWS Reply Helper, not the separate CCM Optimization Dashboard or the practice's complete HIPAA policies.
Information the helper uses
When an authorized user opens a supported OWS reply link, the helper accesses information necessary to prepare a draft in that Google Voice conversation:
- The practice account email displayed on the Google Voice page, to check that the account is authorized.
- The current conversation URL and the phone number displayed in its header, to verify the recipient.
- The handoff's manager identifier or message timestamp and account identifier.
- The draft field's contents, to avoid replacing existing writing.
- For supported original-text reply links, the incoming message text, timestamp, direction and attachment indicators in the open conversation. Message text can contain health information and other personal communications.
- For the restricted owner self-test quotation links, the text or voicemail dictation supplied in the URL fragment.
The helper does not request passwords, authentication tokens, payment details, browser history, contact-list access or access to websites other than its Google Voice message-page scope. It reads the current Voice URL, not a history of other websites visited.
Purpose and operation
Information is used only to verify the intended conversation and to prepare the requested draft. An original-message quotation is inserted only when a single suitable incoming source is identified. Existing drafts are left unchanged. The user reviews, edits and sends the message; the helper does not press Send.
Sharing and transfers
The extension makes no independent network requests, uploads, analytics calls or advertising requests. It does not sell user data or use it for advertising, creditworthiness or lending decisions. It does not send data to Indian River Primary Care servers or to an AI service.
The prepared draft is placed in the Google Voice webpage. Google's own webpage and services can process drafts and sent messages according to their configuration and policies. This notice does not claim that a draft placed in Google Voice is inaccessible to Google. Browser and service behavior, including URL history or synchronization, is separate from the helper's own processing. Avoid sharing reply links containing quoted information beyond authorized recipients.
Storage and retention
The helper uses temporary memory in the current tab and does not use cookies, local storage, Chrome extension storage or a backend database to retain message text. It removes recognized handoff fragments from the active address after reading or completing them. This does not guarantee deletion from browser history, previously shared links, Google Voice drafts or sent-message records. Those records remain subject to the browser, Google services and practice retention settings.
Access and control
The extension operates only for the explicitly allowed practice accounts. This client-side account check is an additional draft safeguard, not a grant of dashboard access or a substitute for Google Workspace authentication and practice access controls. Organization-managed installation and removal are handled by the practice's Chrome administrator.
Users can stop a reply attempt by leaving the conversation, keep their own draft, or review and delete inserted wording before sending. Requests concerning Google Voice or practice records should follow the practice's normal records process; disabling the extension does not delete those records.
Limited use and contact
The helper's use of data is limited to the user-facing draft-preparation functions described above, consistent with the Chrome Web Store User Data Policy and its Limited Use requirements. This notice is not a certification of HIPAA compliance.
