Abstract:Personal name indexes, and registers that function as indexes, to inmates incarcerated at the Minnesota State Prison during the years 1862-1979. Some are for a specific set of records or volumes; others cover a group of years without regard to specific records. All entries give the inmate's surname, given name(s), and register (inmate) number. Indexes to specific records also give volume and/or page number. All entries in the registers additionally give length of sentence, county in which the inmate was tried, crime, and dates of reception at the prison, parole, and discharge; and may include additional information.

Expand/CollapseSCOPE AND CONTENTS

The indexes and registers were created for different purposes at different times, but there is substantial overlap among them. Four of the indexes are for specific volumes of the convict record--volumes C, F, H, and K (the index for volume H appears to list the inmates from volume H but the numbers listed with the inmates' names are not the register numbers). The remainder of the indexes--the general indexes and the Kardex files--cover sets of years without regard to specific volumes of prison records.

Because the general indexes seem to list everyone in prison in a given year, inmates with long imprisonment terms appear in several indexes. Therefore, in the volume list each index is dated both according to the dates that all of the inmates listed in the index entered prison, including those few who were already serving long sentences, and according to the dates that the bulk of those listed in the index entered prison. The Kardex files which begin with inmates entering prison about 1930 and continue to 1978, are more reliable than earlier indexes. Also included is a card file index to the inmates by type of crime.

DETAILED DESCRIPTION

Expand/CollapseMICROFILMED INDEXES, 1862-1924

The inclusive span dates of the volumes represent the years the inmates listed in them entered the prison. Many of the indexes and registers appear to list all inmates that were in prison or on parole at the time a new volume was begun (the names of the current inmates and parolees were carried over from the previous volume and entered in the new volume) Therefore, two sets of dates are given for some indexes and registers: the years that all of the inmates listed in the volume entered prison (the first set of dates), and the years during which the "bulk" of the prisoners or "new arrivals" entered (the second set of dates, in parentheses).

The indexes to specific volumes of convict records cite volume and page numbers. Entries in indexes and registers that cover a groups of years without regard to specific volumes or records give the inmate's register number instead of a page number. The register number, which was chronologically assigned to every convict upon entering the prison, can be used to identify a variety of records for a particular inmate, including his or her case file (female convicts served sentences at Stillwater State Prison until the State Reformatory for Women was established at Shakopee in 1920). Researchers should be aware that two numbering systems were employed during the time period covered by the indexes and registers. The initial system (numbers 1-5688) was used from 1859 to August 2, 1901. It appears that the second system was initiated during July-August, 1901, when inmates already in prison or on parole were assigned numbers 1-579, and early September, 1901, when an entering inmate was given number 580.

Some microfilm images may be difficult to read due to the poor contrast between the text and the paper on the original volume pages. In an effort to increase the legibility of the text on the microfilm, volume pages may be filmed more than once at different camera settings, with a target identifying the intentional duplicate exposure.

Although it is unclear when this volume was begun, it appears to be a master index to the inmate population and, therefore, to inmate records for the years 1862-1911. Entries are arranged alphabetically by surname and given name according to Schlicht's Standard System of Indexing, which is explained at the beginning of the volume. Within each alphabetical grouping, names are generally listed chronologically, in the order in which the inmates entered the prison. However, in some instances it appears that the names of inmates already in prison and on parole when the volume was begun were recorded following the names of several new arrivals.
Most entries give the inmate's surname, given name, and register number. However, entries for inmates listed in Convict Record A give the volume page number in place of or in addition to the register number, and some entries for inmates listed in Convict Record B give both the page and register numbers.

Entries are arranged alphabetically by the first letter of the inmate's surname and the first vowel in the surname. Within each alphabetical grouping, names of new entrants are generally in chronological order, according to when their incarceration began. Each entry gives the inmate's surname and given name, and the volume page number. Some entries in the index to volume K also give the inmate's register number.

Inmate Indexes, 1876-1916 (bulk circa 1893-1916). 3 volumes:
The presence of page numbers in the entries of the 1876-1896 index suggests that it is an index to a particular, albeit unidentified, volume of records; the other two volumes do not appear to index specific volumes. The designation "shop index" on the 1876-1916 volume may mean that it contains the names of inmates who worked in the various prison industries.
The entries in all three indexes are arranged alphabetically by the first letter of the inmate's surname and the first vowel in the surname. Within each alphabetical grouping, names of inmates already in prison or on parole when the volume was begun and of new entrants are listed in a single, generally chronological sequence, in the order in which they were admitted to the prison. Each entry gives the inmate's surname, given name, and register number. As indicated above, the entries in the 1876-1896 index also give a volume page number. Most of the entries in the 1876-1906 index include alphabetical notations whose meaning is unknown.

This volume indexes a set of 12 volumes of records that contain personal data on individual inmates. These statistical records were created, maintained, and updated by the State Board of Control based on information that the board required the prison to submit about every prisoner. Because of this and because the entries in the index include the inmates' register numbers, it appears to function as a reasonably complete index to inmates and inmate records for the years 1901-1924. [The Control Board (1901-1939), a predecessor of the Department of Public Welfare (later Human Services), was created by the State Legislature to coordinate and oversee the management of the state's correctional and human services institutions and programs.]
Entries are arranged alphabetically by the first letter, the first two letters, or the first three letters of the inmate's surname. Within each alphabetical grouping, the names of current inmates, parolees, and new arrivals are listed chronologically, in the order in which they entered the prison. Each entry gives the inmate's surname and given name, the volume and page containing the statistical record, and the inmate's register number.

These four volumes are designated "registers" rather than "indexes," because the entries include information about the inmates beyond their names and register numbers. Like some of the indexes, they appear to serve as reasonably complete listings of the prison population and provide access to inmate records for the years that new arrivals entered the prison (the "bulk" or "new arrival" dates enclosed in parentheses).
Entries in all four volumes are arranged alphabetically by the first letter of the inmate's surname. Within each alphabetical grouping, names of current inmates and parolees at the time each volume was begun, as well as those of subsequent entrants, are listed in a single, generally chronological sequence. All entries give the inmate's surname, given name or initial(s), and register number; the length of the sentence, the county in which the inmate was convicted and sentenced, and the crime of which he or she was convicted; and the dates on which the inmate was received at the prison, paroled, and discharged. Entries in some of the volumes may also include information regarding an inmate's occupation, retum(s) from parole, type of discharge, the use of an alias or aliases, transfers to and from other institutions, and a previous history of incarceration(s). They may be recorded as separate data categories, in a "remarks" section, as notations, or in a separate section of the volume.
