Setting Up Your Birthday List

To begin, open a new or existing workbook in Excel. For a clean and organized list, we'll use the following columns: Name, Birthdate, and Reminder Date. The Reminder Date column will help you set up alerts for upcoming birthdays.

To add these columns, click on the cell where you want to start your list (e.g., A1), then click on the 'Home' tab in the ribbon. In the 'Cells' group, click on 'Format as Table'. Select 'My table has headers' and click 'OK'. This will automatically format your columns with headers.

Entering Names and Birthdates

Click 'OK'. This formula will check if today's date is later than the birthdate. If it is, it will leave the cell blank. If it's not, it will add 30 days to the birthdate to create a reminder date.

Formatting Reminder Dates

To make your reminder dates easier to read, you can format them as dates. Follow the same steps as in the 'Formatting Birthdates' section. Your reminder dates will now show up as dates instead of formulas.

To filter your list to show only upcoming birthdays, click on the small arrow in the header of the 'Reminder Date' column. Deselect 'Blanks' to hide people who have already had their birthday this year.

Sending Reminders

To make your reminders more effective, you can send them to your email or another device. Unfortunately, Excel doesn't have a built-in reminder function, but you can use other Microsoft services or third-party tools to achieve this.

One option is to use Microsoft's 'Power Automate' service, which can send you an email or a notification on your phone when a reminder date is approaching. Another option is to use a third-party tool like 'Add-ins for Excel', which can send SMS reminders.
