This Privacy Policy explains how Realcoderz ("we", "us", or "our") collects, uses, stores, and protects your information when you use the VizentaAI mobile application ("App"). The App is a visitor management and access-control platform that uses facial recognition to verify identities at secured entry points.
By using VizentaAI, you agree to the practices described in this Policy. If you do not agree, please discontinue use of the App and contact your organisation administrator to have your data removed.

Face data is treated as sensitive biometric information and is subject to stricter handling than other personal data. We collect it only for the purpose of verifying a visitor's identity at a secured entry point.
What we collect: When a visitor is registered or presents at an entry gate, the App captures a photograph using the device camera. A numerical feature vector (facial embedding) is derived from this photograph and used for matching.
How it is used: The photograph and embedding are compared against pre-registered visitor records solely to grant or deny gate access. They are not used for advertising, profiling, or any purpose unrelated to access control.
Where it is stored: Face photographs and embeddings are transmitted over encrypted HTTPS connections and stored on secure servers hosted on Google Cloud Platform (GCP) within restricted-access environments.
Third-party sharing: Face data is never sold or shared with any third party for commercial purposes. It is accessible only to authorised personnel of the client organisation and Realcoderz engineers with operational need.
Retention: Face data is retained for the duration of the visitor's access record. Organisations may configure their own retention window; the default maximum is 90 days from the date of the last visit. Upon account deletion or upon expiry of the retention period, face photographs and embeddings are permanently deleted from our servers.
Deletion: You may request permanent deletion at any time by using the Delete Account feature in the App (Settings → Delete Account) or by contacting us at the address below. Deletion is permanent and irreversible.
We do not use your data for advertising, sell your data to brokers, or build individual advertising profiles.
Camera: VizentaAI requests camera access to capture visitor photographs for identity verification and to scan QR codes at entry gates. For example, when a visitor arrives at a secured location, the App captures their photo and matches it against registered records before granting access. Camera access is used only when you actively trigger a capture action.
Photo Library: The App requests photo library access so security personnel can upload an existing identification image when registering a new visitor — for example, selecting a visitor's ID photo from the gallery to attach to their access profile. The library is accessed only when you explicitly choose to select a photo.
Location is collected at the moment of a check-in or check-out event to verify that the action is performed at the correct physical site. Location is not tracked continuously in the background. It is associated with the attendance record and stored on our servers subject to the same retention policy as other account data.
You can revoke location permission at any time in your device's Settings, though this will prevent the App from recording location-based attendance.
We do not sell your personal data. We share data only as follows:

VizentaAI is intended for use by adults in professional and organisational settings. The App is not directed at children under the age of 13 (or the applicable minimum age in your jurisdiction). We do not knowingly collect personal data from minors. If you believe a minor's data has been submitted, please contact us immediately and we will delete it promptly.
We may update this Privacy Policy from time to time to reflect changes in our practices, legal requirements, or product features. When we make material changes, we will notify you by updating the effective date at the top of the policy and, where required by law, by sending an in-app notification or email.
Your continued use of VizentaAI after any update constitutes acceptance of the revised policy.
