VP Crew is VaxPro’s work app for authorized staff. It supports work schedules, clinic timekeeping, office communications, onboarding, credentials, expenses and inventory tasks. This notice explains how information is used in VP Crew.
Information used by Crew
- Account and work details: your name, work email, user identifier, contact details, office, role, membership, profile photo and information you choose to update.
- Work records: assigned and followed clinics, clock-in/out times, timekeeping explanations, training and onboarding progress, professional credentials, uploaded documents, expense details and receipts, and inventory actions.
- Communications: messages, attachments, delivery/read state and operational requests you choose to submit. Access depends on your office, role and conversation membership. Authorized company recovery processes can restore encrypted work messages; this is not a promise that messages are inaccessible to VaxPro.
- Device and service information: authentication and encryption-device identifiers, push-notification tokens, app/device information required to provide notifications, and technical information needed to operate and secure the service.
Location at clock-in
With your permission, Crew requests a fresh, precise foreground location when you choose to clock in. Coordinates, estimated accuracy and the reading’s time are sent to VaxPro to check the clinic’s location rules and freshness of the reading. These coordinates are processed for the clock-in decision and are not saved in time entries. The app does not track your location in the background. Clock-out does not request location. Denying location prevents a new clock-in but does not prevent you from clocking out.
Photos, files and permissions
Camera access is used only when you choose to take a photo, such as an onboarding selfie or receipt. An onboarding selfie is a private staff record available to authorized administrators, not a public profile photo. The Android system picker lets you choose files or images to share. Notification permission controls alerts. You can change these permissions in your device settings. The Android release does not request microphone access.
Why we use information and who can access it
Information is used to authenticate you, manage authorized work access, deliver communications, organize clinics, maintain training and professional records, process timekeeping and expenses, and protect the service. Information is available to authorized recipients and VaxPro personnel according to their work responsibilities.
VaxPro uses service providers for hosting, file storage, notifications and related operations, including Google Cloud, Firebase Cloud Messaging and Expo notification services. Information required for those services is processed by the relevant provider. Linked payroll, document-signing or other services apply their own notices. If your role includes VP Admin, your requests, selected operational context, feedback and saved guidance may be sent to the configured AI service provider to generate assistance. VP Admin history is server-readable and separate from encrypted staff conversations; do not put patient information in these requests. Crew does not include advertising or an advertising-tracking SDK.
Security and retention
Crew uses encrypted network connections, authenticated access and device secure storage. Supported encrypted work conversations use device encryption keys and company-assisted recovery. Other operational records are protected by the service’s access controls. No system can guarantee absolute security.
Work records may need to be retained for employment, payroll, professional, security, legal or business purposes after app access ends. Signing out or uninstalling removes access from that installation; it does not delete VaxPro’s work records. Retention and deletion requests are assessed according to the record and applicable obligations.
Your choices and data requests
Authorized staff accounts are provisioned through VaxPro; Crew does not offer open public registration. You may update available profile fields and contact VaxPro to request access, correction, account closure or deletion of associated information.
Request account or data deletionEmail info@vaxpro.com with the subject “VP Crew account or data request.” Include the email address associated with your Crew account and what you want removed. Do not send your password or sensitive attachments. VaxPro may verify your identity before acting. Records that must be retained may not be deleted immediately; VaxPro can explain the applicable limitations.
Demo workspace
A clearly labeled demo workspace is available for authorized reviewers using fictional accounts and records. It is separate from the work service and does not use your saved work sign-in. Do not enter personal, patient, employment or financial information in the demo. Demo activity is temporary and may reset when the service restarts; it is not a real work or payroll record.

Crew is intended for adult staff using an authorized work account. This page may be updated as the app or its data practices change; the effective date above identifies this version.
