A 15-minute check-up for your AI tools

A 15-minute check-up for your AI tools

A lot of this week's AI news is not about clever new tricks. It is about billing, apps being retired and reports on what your team actually uses. So this issue is a short, practical check-up you can do before the year closes out.

In this issue

  • Do a 15-minute AI tool check-up
  • Copilot Business will switch to usage-based billing by default
  • ChatGPT and Work merge into one desktop app; Classic retires in 2027
  • Claude Enterprise adds usage reports, surveys and shared budgets
  • Google releases Gemini 4 Carbon for longer, multi-step tasks
  • OpenAI launches ChatGPT for Teens with stricter safeguards
  • When every proposal starts from a blank page

This week's idea

Do a 15-minute AI tool check-up

Most small businesses pick up AI tools one at a time and never look at them together. Prices change, billing settings change, and old apps get retired. Fifteen minutes now saves a surprise charge or a lost chat history later.

  1. Open your email and search for receipts from AI tools in the last three months. Write each tool on one list.
  2. Next to each tool, note who uses it and what for, in one plain sentence. If you cannot write that sentence, mark it as a question.
  3. Log in to each tool's billing page and check two things: whether there is a spending limit, and whether billing is set to a flat plan or pay-as-you-go.
  4. Check whether any app you use is being replaced or retired, and move to the new version before the cut-off date so your history comes with you.
  5. Cancel or pause one tool you marked as a question. Put a reminder in your calendar to repeat this check in three months.

BILLING CHANGE

Copilot Business will switch to usage-based billing by default

Copilot Business will switch to usage-based billing by default

Microsoft says that from December 1, Copilot Business will turn on usage-based billing by default. It is also offering a discount on the Microsoft 365 Business Basic and Copilot Business bundle through the end of the year.

Why it matters. If your business uses Copilot, check your spending limits before December so the bill matches what you expect.

APP CHANGES

ChatGPT and Work merge into one desktop app; Classic retires in 2027

OpenAI is bringing ChatGPT and Work together in a single desktop interface. The older ChatGPT Classic app will be retired on January 30, 2027.

Why it matters. If anyone on your team still uses the Classic app, move them over early so chat history and settings are not left behind.

TEAM REPORTS

Claude Enterprise adds usage reports, surveys and shared budgets

Anthropic made smart reports, in-app surveys and pooled group budgets generally available for Claude Enterprise. Administrators can see how the team uses Claude and share a monthly spending limit across a group.

Why it matters. Seeing what your team actually uses AI for is the first step to knowing whether the spend is worth it.

NEW MODELS

Google releases Gemini 4 Carbon for longer, multi-step tasks

Google released Gemini 4 Carbon, a new model it describes as strong at cybersecurity and long, multi-step agent tasks. It is available at an introductory price.

Why it matters. Introductory prices change, so if you try it, note the date and check the cost again before you build habits around it.

TEEN SAFETY

OpenAI launches ChatGPT for Teens with stricter safeguards

OpenAI introduced a version of ChatGPT for teens with age-appropriate safeguards and limits on sensitive content. It also published a new Community Safety Report.

Why it matters. If you coach or teach young people, read what the safeguards cover before suggesting any AI tool to students or parents.

How SyncGrid helps

When every proposal starts from a blank page

The problem. A good call ends with "send me something." Then the proposal sits for days. You dig up an old one, change the name, fix the dates, try to remember what you promised on the call, and fight with the formatting. By the time it goes out, the energy from the call has cooled.

What the team does. The SyncGrid team prepares the proposal for you. It works from your client list and the notes kept in SyncGrid, plus what you have told it to remember about how you work, and builds a branded proposal as a PDF with a Word copy saved in your own Google Drive. Your client can accept it online. When the work is done, the team can prepare a branded invoice the same way.

What you approve. Nothing goes to the client until you say yes. You read the proposal, change what you want in the Word copy, and approve it. Approval is the send button, so a draft never leaves on its own.

Try this week. Pick the best proposal you have ever sent. Strip out the client details and save it as a skeleton with three headings: what they told me, what I will do, what happens next. Right after your next call, spend five minutes filling in the first heading while it is fresh.
