Managing work orders efficiently is crucial for maintaining productivity and organization within your business. NetSuite, a comprehensive business management software, offers a robust solution for creating and managing work orders. In this step-by-step guide, we'll walk you through the process of building a work order in NetSuite, from start to finish.

Before we dive into the process, ensure you have the necessary permissions to create and manage work orders in NetSuite. If you're unable to access work orders, consult with your NetSuite administrator to obtain the required permissions.

Creating a New Work Order
To begin building your work order, you'll need to create a new record in NetSuite. Here, we'll focus on creating a work order from scratch, but remember that you can also create work orders from other NetSuite records like sales orders, purchase orders, or support cases.

First, navigate to the 'Work Orders' subtab under the 'Manufacturing' main tab in your NetSuite dashboard. Click on the 'New' button to start creating a new work order.
Filling Out the Basic Information

Upon clicking 'New', you'll be directed to the 'Work Order' screen, where you'll fill in the necessary details. Start by entering a unique 'Work Order Number' or leaving it blank to allow NetSuite to auto-generate one. In the 'Work Order Type' field, choose the appropriate type that suits your needs, such as 'Standard', ' rushes', or 'One-time'.
The 'Category' field helps you organize your work orders, so select a relevant category or create a new one as needed. Next, enter a brief but descriptive 'Subject' to help identify the work order quickly. For example, you might enter 'Manufacturing of New Product X'.
Setting Up the Work Order Details

In the 'Transaction' subtab, enter the relevant details for your work order. Here, you can specify the 'Department', 'Location', 'Class', and 'Project' associated with this work order. These fields are customizable, so ensure they align with your business hierarchies in NetSuite.
Next, enter the 'Start' and 'End' dates for the work order. You can also set a 'Due Date' if there's a specific deadline for completion. In the 'Priority' field, choose a priority level to help manage and prioritize your work orders effectively.
Scroll down to the 'Bill To' and 'Ship To' fields. These addresses will default to the customer's address, but you can modify them if necessary. The 'Item' field is where you'll add the products or services that this work order encompasses. Click on the 'Add' button to search for and select the relevant items.

Once you've added the items, fill in the 'Quantity', 'UOM', and 'Rate' fields. The 'Pricing' field determines how the item prices are calculated. You can choose 'Standard Price', 'Discount Price', or 'Applicable Pricing'. Finally, enter any relevant 'Options', ' famosa', or 'Kit Component' information if applicable.
Now that you've laid the foundation for your work order, it's time to dive into additional settings and functionalities offered by NetSuite.

Advanced Settings and Functionalities
NetSuite provides a wealth of advanced settings and functionalities that help streamline your work order management process. Let's explore some of these features.
Linked Records
In the 'Linked Records' subtab, you can connect your work order to other relevant NetSuite records, such as 'Sales Orders', 'Estimates', 'Purchase Orders', 'Support Cases', or 'Projects'. This interlinking helps maintain a seamless and connected workflow throughout your organization.
To link a record, click on the 'Add' button next to the desired record type, search for and select the relevant record, and then click 'Save'. Repeat this process to link multiple records if needed.
Dates and Approvals
The 'Dates' and 'Approvals' subtab allows you to set up approval workflows and scheduling for your work orders. Here, you can configure '_STATUS_improvement' steps, such as requesting approvals from specific users or setting up automated status changes based on specific dates.
To create a workflow element, click on the 'Add' button, select the appropriate 'Type', enter the relevant details, and click 'Save'. Repeat this process to create additional workflow elements as needed.
Items and Labor
The 'Items' and 'Labor' subtabs enable you to add labor items, constituent items, and labor expenses to your work order. To add a labor item, click on the 'Add' button in the 'Labor' subtab, search for and select the relevant labor item, and fill in the 'Labor Expense Account', 'Cost', 'Rate', and 'Quantity' fields.
To add a constituent item, follow the same process in the 'Items' subtab. Constituent items can be used items, free items from other transactions, or items with a special accounting treatment. Once you've added the desired items and labor expenses, click 'Save' to update your work order.
Finally, you can review and confirm the details of your work order before committing it to NetSuite. Once satisfied with the information, click on the 'Save' button to create the work order. If you'd like to keep the work order in draft mode until you're ready to submit it, click on the 'Save & Close' button instead.
