Mastering Word's Quick Access Toolbar: A Comprehensive Guide
Microsoft Word's Quick Access Toolbar (QAT) is a customizable toolbar that allows you to access your most frequently used commands quickly. By default, it's located above the Ribbon, but its position and contents can be customized to suit your workflow. Let's delve into the world of Word's QAT, its file location, and how to make the most of it.
Understanding the Quick Access Toolbar's File Location
The Quick Access Toolbar's settings are stored in the Normal template, which is located in your user profile folder. Here's how to find it:
- On Windows:
C:\Users\YourUsername\AppData\Roaming\Microsoft\Templates - On macOS:
~/Library/Application Support/Microsoft/Office/User Templates
The Normal template file is named Normal.dotm. This is where Word stores the default settings for new documents, including the QAT's customizations.

Customizing the Quick Access Toolbar
To customize the QAT, right-click on it and select Customize the Quick Access Toolbar. This opens the Word Options dialog box with the Quick Access Toolbar tab selected. Here, you can:
- Add or remove commands by clicking the Choose commands from dropdown and selecting All Tabs or a specific tab.
- Change the toolbar's position by clicking the Show Below the Ribbon or Show Above the Ribbon checkbox.
- Import or export QAT settings from other templates or profiles.
Click OK to save your changes and close the dialog box.
Adding Commands to the Quick Access Toolbar
To add a command, follow these steps:

- Right-click on the QAT and select Customize the Quick Access Toolbar.
- In the Choose commands from dropdown, select All Tabs.
- Scroll down to find the command you want to add, then click Add.
- Click OK to close the dialog box.
The selected command will now appear on the QAT.
Resetting the Quick Access Toolbar
If you've customized the QAT and want to restore it to its default settings, you can do so by deleting the Normal.dotm file and allowing Word to recreate it. Here's how:
- Close all open Word documents.
- Navigate to the
Normal.dotmfile in your user profile folder (see above for the location). - Rename the file to
Normal.dotm.old. - Reopen Microsoft Word. Word will recreate the
Normal.dotmfile with its default settings.
Your customizations will be lost, so make sure to export them if you want to keep them before proceeding.

Troubleshooting the Quick Access Toolbar
If you're having trouble with the QAT, try the following solutions:
| Issue | Solution |
|---|---|
| Commands are missing or not working | Check if the command is available in the Choose commands from dropdown. If it is, try adding it again. If it's not, it may be a third-party add-in causing the issue. |
| The QAT is not visible | Check if the QAT is hidden. Right-click on the Ribbon and select Customize the Quick Access Toolbar to check its settings. |
| The QAT is not responding | Try resetting the QAT as described above. If the issue persists, there may be a problem with your Word installation. Consider repairing or reinstalling Word. |
